How to add an HTML email signature in Gmail & Outlook

A good email signature makes every message look professional. The whole process takes about two minutes: generate the signature, paste it into your email client, done. No sign-up, no browser extensions, nothing stored.

Step 0 — create your signature

Use my free generator: pick a template, type your details, click Copy signature. That copies it as rich text, ready to paste.

Open the generator

Gmail (web)

    Open signature settings

    Click the gear icon → See all settings → General tab, then scroll to the Signature section.

    Create and paste

    Click + Create new, give it a name, click inside the editor box, and press Ctrl+V (Windows) or Cmd+V (Mac). Your signature appears with fonts, colors, and links intact.

    Set defaults and save

    Under Signature defaults, choose your new signature for new emails (and replies if you like). Scroll to the bottom and click Save Changes.

Outlook (web & new Outlook)

    Open compose settings

    Go to Settings (gear) → Mail → Compose and reply.

    Paste your signature

    Under Email signature, click into the editor and paste with Ctrl+V / Cmd+V.

    Enable and save

    Tick Automatically include my signature on new messages, then click Save.

Apple Mail & other clients

Most desktop clients work the same way: find the signature settings and paste. Apple Mail tip: after pasting in Mail → Settings → Signatures, right-click the signature and choose to keep formatting if it looks stripped. If a client refuses rich formatting, use the Copy plain text option in the generator instead.
